Terms & Conditions — Madhuram Hotel & Resort

BOOKING & PAYMENT

  • Advance Payment: 25% of the finalized total event amount shall be paid in advance to confirm and block the venue booking.

  • Balance Payment: The remaining 75% shall be paid at least 15 days prior to the event date.

  • If the full booking amount is not received 15 days before the event, the management reserves the right to cancel the reservation without prior notice, and the deposited amount shall be non-refundable.

  • The final guest count must be provided by the client within the agreed timeline. The resort can accommodate up to 10% additional guests over the confirmed guest count, subject to availability. Any additional guests/plates will be charged separately.

  • Security Deposit: A refundable security deposit of ₹50,000/- shall be paid at least 3 days prior to the event. The deposit will be refunded after the event, subject to deduction for any damage, breakage, loss, or exceptional cleaning charges.

  • All applicable Government Taxes and GST shall be charged extra on the finalized event amount.

  • Bookings are confirmed on a first-come, first-served basis.

  • A booking confirmation/receipt will be issued after receipt of the advance payment.

  • Accepted Payment Modes: Cash, Bank Transfer (NEFT/RTGS), and Demand Draft.

  • Management reserves the right of admission and may restrict entry to any person if deemed necessary for the safety, security, or smooth operation of the property.

  • The management reserves the right to cancel or modify a booking in case of emergencies, government restrictions, natural calamities, or other unforeseen circumstances beyond its reasonable control.

CANCELLATION / DATE ALTERATION

  • Once confirmed, cancellation or date alteration is not permitted.

  • In case of cancellation or change of event date by the client, 100% of the deposited/paid booking amount shall be forfeited and will not be refunded.

  • Any exception to the above policy shall be entirely at the discretion of the management.

EVENT TIMINGS & VENUE USE

  • Event/banquet timings shall be as mentioned in the finalized booking confirmation.

  • Additional hours beyond the agreed event timing will be charged separately, subject to venue availability.

  • Any additional AC usage or extended operating hours, where applicable, shall be charged separately as per the rates communicated by the management.

  • The client must inspect the premises and facilities before taking possession of the venue.

  • The venue must be handed back in the same condition in which it was provided.

  • The client shall be responsible for any damage, breakage, loss, or misuse of the property, furniture, fixtures, equipment, carpets, décor, or other resort assets caused by the client, guests, vendors, or contractors.

  • Damage/repair charges shall be assessed by the management based on prevailing market/replacement costs and may be deducted from the security deposit.

MUSIC, DJ & ENTERTAINMENT

  • Music, DJ, orchestra, live performances, and sound systems shall be operated strictly as per applicable government rules and permissible noise limits.

  • The client shall be solely responsible for obtaining all required licenses, permissions, and approvals for DJ, orchestra, live music, copyrighted music, performances, or other entertainment arrangements.

  • Any statutory permissions required from Police, Municipal Authorities, Sound Authorities, Excise Department, or any other government authority shall be the responsibility of the client.

  • Copies of applicable permissions/licenses may be required to be submitted to the management before the event.

  • DJ/music inside the banquet/event area shall be subject to the resort’s permissible sound and bass limits.

FOOD & BEVERAGES

  • Outside food and beverages shall not be permitted unless specifically approved by the management in writing.

  • Any outside catering arrangement shall be subject to the resort’s prior approval and applicable charges/security deposit.

  • Non-vegetarian food items are strictly prohibited on the resort premises, if applicable to the finalized event package/property policy.

  • Consumption of alcohol/intoxicating substances is strictly prohibited unless specifically permitted by the management and all applicable licenses and government permissions have been obtained.

  • The client shall be responsible for compliance with all applicable laws relating to alcohol service and consumption.

OUTSIDE VENDORS / DECORATION / CATERING

If the client engages any outside caterer, decorator, event planner, DJ, photographer, production company, or other external service provider, prior approval from Madhuram Hotel & Resort shall be mandatory.

  • A refundable security deposit of ₹50,000/- per outside service/vendor shall be deposited before the event.

  • The security deposit shall be refunded after the event, subject to inspection of the premises.

  • Any damage, breakage, loss, excessive cleaning, or other recoverable expense caused by the outside vendor shall be deducted from the security deposit.

  • The client shall be fully responsible for the conduct and activities of all outside vendors appointed by them.

  • Outside vendors must follow all resort rules, safety requirements, timings, and operational instructions.

GENERAL PROPERTY RULES

  • Smoking is strictly prohibited inside rooms, banquet halls, public areas, and other non-designated areas. Smoking is permitted only in designated smoking areas, where available.

  • Spitting of paan, gutkha, tobacco, or any other substance is strictly prohibited on the resort premises. A penalty of ₹1,000/- may be charged for such violation.

  • No animals or pets shall be permitted on the premises unless specifically approved by management.

  • Firearms, weapons, explosives, or other prohibited items are strictly not allowed on the premises.

  • Any illegal activity or activity that may endanger guests, staff, or property is strictly prohibited.

  • Guests and clients must follow all safety, security, fire, and operational instructions issued by the management.

  • The management reserves the right to refuse or restrict entry to any individual whose presence may create a safety, security, or operational concern.

LIABILITY & FORCE MAJEURE

  • injury, or any mishap arising from circumstances beyond the reasonable control of the management.

  • The management shall not be responsible for interruptions or failures caused by electricity supply, internet/technical issues, government restrictions, natural calamities, extreme weather, fire, civil disturbance, or other unforeseen circumstances.

  • In the event of any technical, electrical, AC, cooling, or other operational issue, the management will make reasonable efforts to resolve the issue as quickly as possible; however, no compensation or refund shall be automatically applicable.

CLIENT RESPONSIBILITY

  • The client shall be responsible for ensuring that all guests, family members, event staff, decorators, caterers, and vendors comply with the resort’s rules and regulations.

  • Any additional cost arising due to damage, overtime, additional guests, additional services, special requirements, or violation of resort policies shall be payable by the client.

  • The management reserves the right to take necessary action in case of violation of these terms and conditions.

JURISDICTION

ALL DISPUTES AND TERMS & CONDITIONS SHALL BE SUBJECT TO VIDISHA, MADHYA PRADESH JURISDICTION.
